Privacy policy
This policy explains how Double AI, Inc. (“Double”, “we”, “us”) collects, uses, shares and protects personal information. It applies to people who visit trydouble.ai, apply to work with us as experts, take part in project work, or contact us on behalf of a robotics team. It does not apply to third-party websites or services we link to, which have their own policies.
1. Who we are
Double AI, Inc. is a company incorporated in Delaware, United States. Double turns expert knowledge into robot training data: skilled professionals define tasks, demonstrate them and correct robot behavior in simulation, and robotics teams use the result to train and evaluate their models.
For the personal information described in this policy, Double is the “controller” (the organization that decides why and how the information is used) for the purposes of the EU and UK General Data Protection Regulation (“GDPR”) and the “business” for the purposes of US state privacy laws. You can reach us about anything in this policy at [email protected].
2. Information we collect
When you visit the site
trydouble.ai is hosted by Cloudflare. When you load a page, Cloudflare processes technical information needed to deliver and protect the site, such as your IP address, browser and device type, the page requested, the referring page and the time of the request.
We do not use advertising or social media tracking tools on the site, and we do not set cookies. We use cookieless analytics only if you allow it, as described under “Cookies and your choices” below. Our fonts are served from our own domain, so loading a page does not send your information to a font provider.
The expert application form saves your answers in your browser's local storage while you fill it in, so you can leave and come back. That copy stays on your device, does not include your résumé, is not sent to us until you submit the form, and is deleted from your browser once your application is sent. You can clear it at any time through your browser settings.
Cookies and your choices
The first time you visit, a banner asks which kinds of storage you allow. You can accept all, reject all or choose by category, and you can change your choice at any time from the Cookie settings link at the bottom of every page. The categories are:
- Strictly necessary (always on): the record of your choice described below and the application draft described above. Both stay on your device and are not shared.
- Functional: tools from other companies embedded in our pages. Today this is only the Cal.com booking calendar on /book. The calendar does not load until you allow Functional storage, in the banner or by choosing to load it on that page. Once it loads, Cal.com may set its own cookies, as described under “When you contact us or book a call”.
- Analytics: we use Cloudflare Web Analytics to understand how many people visit and which pages they find useful. It only runs if you turn Analytics on. It does not set cookies or fingerprint your device, and it collects page views, the referring page, your browser and device type, and your country, which we see only as aggregated totals. Cloudflare, Inc. processes this information on our behalf. We do not use it for advertising. Our legal basis is your consent, which you can withdraw at any time in Cookie settings.
We store your choice in your browser's local storage under the name “double-consent”, not in a cookie. It records which categories you allowed, the version of this policy you chose under, whether your browser was sending a privacy signal, and when you chose. It stays on your device and is not sent to us. We ask again after 6 months, or sooner if we change this policy in a way that affects these choices. Clearing your browser's data for the site deletes it, and the banner will ask again.
When you apply as an expert
The application form on /experts/apply collects:
- your full name, email address, and the city and country where you are based
- your LinkedIn profile link, if you provide one
- the role you are applying for or, if your field is not listed, the field you work in
- your current job title and how many years you have done this work
- any licences or certifications you choose to list
- your written answer to the question about your work
- the hours per week you could give, whether you can work as an independent contractor where you live, and how you heard about us
- your résumé, if you upload one, and anything it contains
We may also look at your public LinkedIn profile if you give us the link, and check licences or certifications you list against public licensing registries. We do not ask for, and ask you not to include, information about health, race or ethnic origin, religion, sexual orientation, political views, union membership or criminal history.
When you work on a project
If we engage you for project work, you will sign a separate written agreement, and we collect the following in addition to your application:
- Onboarding and payment information: your legal name, mailing address, tax information (such as a US W-9 or W-8BEN form, which may include a taxpayer identification number), payment details, and the signed agreement.
- Work product: the tasks, procedures, quality criteria and written explanations you write; your annotations, ratings and reviews of robot attempts; and your demonstrations and corrections in simulation.
- Simulation recordings: while you work in a project tool, we record what happens inside the simulation, including the inputs you give through the controls provided (such as mouse, keyboard or controller input), the resulting motion and state of the simulated scene, video renders of that scene, and timestamps.
- Work records: the time spent on tasks, task completion and quality-review results, and messages exchanged with us about the work.
- Technical information: the device, operating system, browser and connection information the project tool needs to run and to diagnose problems.
Recording is limited to the simulation and the project tool. We do not record the rest of your screen, other applications or your browsing. We do not capture your face, voice, camera or microphone, and we do not collect biometric information. If a particular project ever needs audio or video of you, it will be described in the agreement for that project and will only be collected with your separate, explicit agreement.
When you contact us or book a call
If you email us, we receive your email address, name and whatever you include in the message and its attachments. If you are contacting us on behalf of a robotics team, this usually includes your name, job title, company, work email and details of the project you have in mind.
The booking page on /book embeds a scheduling calendar provided by Cal.com, Inc. When you book a call, the details you enter (such as your name, email address and any notes) are collected by Cal.com under its own privacy policy and shared with us so we can hold the call. Cal.com may use cookies or similar technologies inside the embedded calendar to make it work, so the calendar only loads once you allow Functional storage. You can also open the same calendar directly on cal.com. We then hold the call using the video conferencing link included in the invitation.
If you are a customer or prospective customer, we also keep records of our business dealings with your organization, such as proposals, order forms, invoices and correspondence.
3. How we use information and our legal bases
We use personal information only for the purposes below. If you are in the European Economic Area, the United Kingdom or Switzerland, the GDPR requires us to have a legal basis for each use, which we list alongside it.
- Reviewing applications and matching experts to projects. We read your application, assess your experience, and contact you when a project fits. Legal bases: taking steps at your request before entering into a contract, and our legitimate interest in finding qualified experts. Where we ask for your agreement on the form, we also rely on your consent, which you can withdraw at any time.
- Engaging and paying experts. We onboard you, assign and review work, pay you and keep the records we need for tax and accounting. Legal bases: performing our contract with you, and complying with our legal obligations.
- Producing and delivering training data and evaluations. We process work product and simulation recordings to build tasks, datasets and evaluation results for robotics teams, check their quality, and improve our own tools and methods. Legal bases: performing our contract with you, and our legitimate interest in running our business and delivering what our customers order.
- Working with robotics teams. We reply to enquiries, hold calls, scope pilots, deliver services and manage our customer relationships. Legal basis: our legitimate interest in running and growing our business, and performing our contract with your organization.
- Communicating with you. We answer questions and send messages about your application, your projects or our services. Legal bases: performing a contract, and our legitimate interests.
- Operating and securing the site and our services. We keep the site available, prevent spam, fraud and abuse, and investigate security incidents. Legal basis: our legitimate interest in keeping our services secure and working.
- Legal and compliance purposes. We comply with law, respond to lawful requests from authorities, and establish, exercise or defend legal claims. Legal bases: complying with our legal obligations, and our legitimate interest in protecting our rights.
We may use software, including AI tools, to help organize and summarize applications, but a person reviews each application and makes every decision about whether to engage you. We do not make decisions that have legal or similarly significant effects on you solely by automated means.
Where we rely on legitimate interests, we have weighed those interests against your rights and expectations. You can ask us for more information about this assessment, and you can object, as described in section 8.
4. How we share information
We do not sell personal information, and we do not share it for targeted or cross-context advertising.
We share personal information only as follows.
Service providers
We use service providers that process personal information on our behalf and under our instructions:
- Cloudflare, Inc. hosts and protects the website and, if you allow analytics, provides Cloudflare Web Analytics.
- FormSubmit receives each expert application, including any résumé, and delivers it by email to our inbox.
- Google LLC provides our email and workspace tools (Google Workspace), where we receive and store applications and correspondence.
- Cal.com, Inc. provides the booking calendar on /book.
- For experts engaged on projects, providers of cloud computing and storage, contractor payment and tax form processing, and electronic signature services, which we use to run project tools, store work product, pay you and sign agreements.
We will tell you which providers are involved in your project work when you are engaged.
Robotics-team customers
The purpose of expert project work is to deliver training data and evaluations to robotics teams. Customers therefore receive work product, including demonstrations, simulation recordings, annotations, task definitions and evaluation criteria. Before delivery we de-identify work product where practical: we label it with a pseudonymous contributor identifier instead of your name or contact details, and we remove personal details that appear in free-text fields. A customer may receive a general description of the expertise behind the data, such as your trade, credential type or years of experience, without your name.
We will not give a customer your name, contact details or résumé without telling you first. Customers receive work product under written agreements that limit how they may use it, and those agreements prohibit attempts to re-identify contributors.
Other disclosures
- Professional advisers, such as lawyers, accountants and auditors, under duties of confidentiality.
- Authorities and legal process, where we believe in good faith that disclosure is required by law, or is necessary to protect the rights, property or safety of Double, our users or others.
- Corporate transactions. If Double is involved in a merger, acquisition, financing, reorganization or sale of assets, personal information may be transferred as part of that transaction, subject to this policy or protections at least as strong.
- With your direction or consent, for any other purpose we describe to you at the time.
5. International transfers
Double is based in the United States, and we and our service providers store and process personal information in the United States and other countries. These countries may not have data protection laws equivalent to those where you live.
When we transfer personal information from the European Economic Area, the United Kingdom or Switzerland to a country that has not been found to provide adequate protection, we use the Standard Contractual Clauses approved by the European Commission, with the UK International Data Transfer Addendum and the Swiss amendments where they apply, or we rely on the recipient's certification under the EU-US Data Privacy Framework and its UK and Swiss extensions. You can ask us for a copy of the relevant safeguards by emailing [email protected].
6. How long we keep information
We keep personal information only as long as we need it for the purposes in this policy, and then delete or anonymize it:
- Applications that do not lead to project work: 24 months after we last had contact with you, so we can consider you for future projects. You can ask us to delete your application sooner.
- Expert records (application, agreement, work records and correspondence): for as long as you work with us, and for 3 years after your last project.
- Tax and payment records: 7 years after the end of the tax year they relate to, as required for tax and accounting purposes.
- Work product and simulation recordings: datasets and evaluation results delivered to customers form part of their products and are kept for as long as they are used. We delete the record that links your contributor identifier to your identity 3 years after your last project, after which the data we hold can no longer be linked to you.
- Robotics-team contacts: for the duration of our business relationship and 3 years after it ends. Enquiries and booking records that do not lead to a relationship are kept for 24 months after our last contact.
- Other email correspondence: 24 months after our last contact, unless it belongs to one of the categories above.
- Website request data processed by Cloudflare: for the limited period set by Cloudflare's standard log retention.
We may keep information longer where the law requires it, or where we need it to resolve a dispute or defend a legal claim, and only for as long as that need lasts.
7. Security
We use administrative, technical and physical measures designed to protect personal information, including encrypted connections (HTTPS) for the site and project tools, access controls that limit personal information to the people who need it, multi-factor authentication on our business accounts, and contractual security commitments from our service providers. No system is completely secure. If we become aware of a breach affecting your personal information, we will notify you and the relevant authorities as the law requires.
8. Your rights
You can make any of the requests below by emailing [email protected]. We will respond within the time the law allows, which is one month under the GDPR and 45 days under US state laws, and we may extend this where the law permits. We may need to confirm your identity before acting on a request, usually by asking you to reply from the email address we have on file. You may use an authorized agent to make a request on your behalf; we may ask the agent for proof of authority and ask you to confirm your identity directly. We will not discriminate against you or treat you less favorably for exercising your rights.
If you are in the EEA, UK or Switzerland
You have the right to:
- access the personal information we hold about you and receive a copy
- have inaccurate information corrected
- have your information deleted
- restrict how we use your information
- object to our use of your information based on legitimate interests, and to object at any time to direct marketing
- receive information you gave us in a portable format, where processing is based on consent or contract
- withdraw consent at any time, without affecting processing that happened before you withdrew it
- lodge a complaint with the data protection authority where you live or work. In the UK this is the Information Commissioner's Office. We would appreciate the chance to address your concern first.
If you are a California resident
The California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”), gives California residents the following rights, which we extend to all of our California applicants, experts, contacts and visitors:
- to know the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties we disclose it to
- to delete personal information we collected from you, subject to legal exceptions
- to correct inaccurate personal information
- to opt out of the sale or sharing of personal information
- to limit the use of sensitive personal information
- not to receive discriminatory treatment for exercising these rights
In the past 12 months we have collected the following categories of personal information, from you directly, from your use of the site and project tools, and from public sources such as LinkedIn and licensing registries, for the purposes described in section 3:
- identifiers, such as name, email address, IP address and contributor identifier
- customer records information, such as mailing address, payment details and, for engaged experts, a taxpayer identification number
- professional or employment-related information, such as job title, experience, credentials and résumé
- internet or other electronic activity information, such as request data and project tool activity
- audio, electronic, visual or similar information, limited to recordings of simulated scenes and your inputs to them
- general location, meaning the city and country you tell us
- commercial information, such as records of services quoted or provided to your organization
We disclose each of these categories for business purposes to the service providers, customers and other recipients described in section 4. We do not sell or share personal information, as those terms are defined in the CCPA, and have not done so in the past 12 months. We have no actual knowledge of selling or sharing the personal information of anyone under 16. We use sensitive personal information, such as a taxpayer identification number, only to pay you and meet our tax obligations, which are purposes the CCPA permits without a right to limit. We keep each category for the periods in section 6.
If you live in another US state
Residents of states with comprehensive privacy laws, including Colorado, Connecticut, Delaware, Oregon, Texas, Utah and Virginia, may have rights to confirm whether we process their personal information, and to access, correct, delete or obtain a copy of it, and to opt out of targeted advertising, sale and profiling with significant effects. We do not engage in targeted advertising, sales of personal information or that kind of profiling. We honor access, correction, deletion and portability requests from residents of every US state, whether or not a state law requires it. If we decline your request, you may appeal by replying to our decision or emailing [email protected] with the subject line “Privacy appeal”. We will respond to your appeal in writing within the time the law allows. If you disagree with the outcome, you may contact your state attorney general.
9. Expert applicant notice
This section summarizes what happens to your information when you apply as an expert.
- Your application is sent through FormSubmit to our Google Workspace inbox, where the Double team reviews it. Only people at Double who are involved in recruiting and project staffing can see it.
- We use your application to decide whether you are a fit for current or future projects and to contact you about them. We keep it for 24 months after our last contact unless you ask us to delete it sooner.
- Applying does not create an employment relationship or a contract. If we engage you, your project work is governed by a separate written agreement, and the additional information described under “When you work on a project” will be collected only then.
- We do not give your application to robotics-team customers. If a project ever requires a customer to know who you are, we will ask you first.
- You can ask to see, correct or delete your application, or tell us to stop contacting you, at any time by emailing [email protected]. Withdrawing does not affect anything we did before you asked.
10. Children
The site and our services are not directed to anyone under 18, and you must be at least 18 to apply or to work on a project. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has given us personal information, contact us at [email protected] and we will delete it.
11. Do Not Track and Global Privacy Control
If your browser sends a Global Privacy Control or Do Not Track signal, we treat it as a request to opt out: analytics stays off, and cannot be turned on in Cookie settings, while the signal is on. We also treat a Global Privacy Control signal as a valid request to opt out of the sale or sharing of your personal information. We do not sell or share personal information, so apart from keeping analytics off, the signals do not change how the site works for you.
12. Changes to this policy
We will update this policy when our practices change. The effective date at the top of the page shows when it was last revised. If we make a material change, we will post a notice on the site before the change takes effect and, where we have your email address and the change affects you, tell you by email.
